Microsoft SQL Server 2005 Standard Runtime Edition is licensed only as a platform to the Microsoft Dynamics NAV product. A full SQL license is required to support any third party products including, but not limited to, other Microsoft products not sold on the Microsoft Dynamics NAV price list. Microsoft Dynamics NAV 2018 Installation: Step-by-Step Guide As every techie guy knows, another version of Microsoft ERP system Microsoft Dynamics NAV 2018 has been released in Dec 2017. NAV is a complete enterprise resource planning (ERP) software solution for companies – it is easy to configure and simple to use with an intuitive UI.

When you create a user in Microsoft Dynamics NAV 2018, you must specify a license type. This topic provides an overview of the license types.

Note

Licenses are specific to the Dynamics NAV version and are not forward or backward compatible. This means that a license from an earlier Dynamics NAV version will not work with Microsoft Dynamics NAV 2018, and vice versa.

• Full User

  Full User licenses provide users full read and full write capabilities to all of the licensed solution functionality through any and all modes of access, including the Microsoft Dynamics NAV Windows client, the Microsoft Dynamics NAV Web client, or any other mode of access including web services. Full User licenses are for users requiring unlimited read and write access. As long as the number of users needing simultaneous access to the solution does not exceed the number of Full User licenses you have acquired, these users are properly licensed for full read and write access to the complete solution functionality.

• Limited User

  Limited User licenses provide users full read, but limited write, capabilities to all of the licensed solution functionality through any and all modes of access including the Microsoft Dynamics NAV Windows client. The Limited User license is designed to give customers a lower-cost alternative for extending ERP to users who only require limited access to the Dynamics NAV application:

  • Read access to data contained in the solution through any client accessing the application, including but not limited to the Microsoft Dynamics NAV Windows client, the Microsoft Dynamics NAV Web client, and web services.

  • Write access to a maximum of three application tables in the object range 0 – 99,999,999 other than the General Ledger Entry table, through any client accessing the application. Access to the General Ledger Entry Table requires a Full User license.

• Device Only User

  Device-only licenses enable a user to connect, provided there is an enabled device available to use. Devices can be full or limited. Device users have either full or limited access, as determined by the device.

• Windows Group

  Use this license type to create a Dynamics NAV user account that is based on a Windows group and has explicit permissions in Dynamics NAV. Individual members of the Windows group will then inherit the permissions for this user.

  Important

  For each member of the Windows group, you create a Dynamics NAV user account, which does not explicitly have any permissions. Users then log on by using their Dynamics NAV user account credentials.

  Windows Group licensing is a form of license multiplexing. Multiplexing does not reduce the number of user licenses required to access a Dynamics NAV solution.

• External User

  As described in the Microsoft Software License Terms that apply to Microsoft Dynamics NAV 2018, external users are the customers of customers. This license type is specific to individual users of Microsoft Dynamics NAV 2018. External user licenses must not be shared with other individual users. You do not need concurrent user CALs for external users. External users must not use any clients provided by the Microsoft Dynamics NAV 2018 Application Programming Interface (API), such as the Microsoft Dynamics NAV Windows client or the Microsoft Dynamics NAV Web client. External user licenses must not be used for business process outsourcing purposes.

When it comes to the user access/user types in NAV 2013, there are only 2 types of user licenses:

As the name specifies, Full user license will have access to all the NAV data (licensed solution functionality) and that’s all about it!! But, when it comes to Limited user license, I have come across partners asking following questions:

• Where can we assign the tables that Limited users can write to?
• Do the Limited Users utilize the same Role Centers that are available for the Full Access Users?
• Are Limited Users concurrent? How is that controlled?
• Why is system allowing the limited user to access everything? Where is the control?

Hence, I wanted to write about the Limited user licensing in simple words with few examples to help partners and customers understand this user licensing better.

Limited User licenses provide users full read but limited yet powerful write capabilities to all of the licensed solution functionality through any and all modes of access including the Windows client. The Limited User license is designed to give you a lower-cost alternative for extending ERP to users who only need to perform limited task as defined in the Licensing Guide.

• The Limited User license is a concurrent license.
• A user with this Limited user license will have read access to all the NAV data (licensed solution functionality).
• Limited users have write access to
• Three tables of user’s choice except General Ledger (table 17), Permission Set (table number 2000000004), Permission (table number 2000000005) or Access Control (table number 2000000053).
• A predefined set of tables given under Appendix A in ERP Licensing Guide.
• Limited users can access NAV using any client (windows client, web Client, SharePoint client…).
• Every limited user can have different set of 3 tables assigned to them to write into along with the tables given under Appendix A in ERP License Guide.
• There is no setup available in NAV 2013 where you can specify the 3 additional tables that each limited user can write into. The Limited user licenses are provided purely on trust basis and Microsoft expects partners to make sure that customers use these licenses in the right manner.

However, the system restriction for limited users will be enforced in next versions of NAV.
